Getting started

Create your business

Set up your free booking page in under two minutes. No account, no password — just an email.

Go to gettingbooked.app

Open gettingbooked.app in any browser. You'll see the home page with two options: Create your business and Sign in to manage.

Enter your business name and email

Click Create your business. Fill in your business name and email address. Your booking page address (e.g. gettingbooked.app/sunrise-yoga) is generated automatically from your name.

Tip: Use your real business name — it becomes your public URL and you can't change it later.

Verify your email with the 6-digit code

Check your inbox for an email from GettingBooked. Enter the 6-digit code on the verification screen. The code expires in 15 minutes.

Tip: Check your spam folder if the email doesn't arrive within a minute.

You're in — your admin panel opens automatically

After verifying, you land directly in your admin dashboard. Your public booking page is already live and shareable — members can visit it right away, even while you're still adding slots.

Getting started

Add your first slot

Slots are the sessions or appointments your members can book. Each slot has a date, time, and a capacity limit.

Open the Schedule tab in your admin panel

From your dashboard, click the Schedule tab at the top. This shows all your upcoming sessions.

Click "Add slot"

Press the + Add slot button in the top-right corner. A form slides in from the side.

Fill in the details

Enter a title (e.g. "Morning Flow"), the start and end time, and optionally a capacity. The capacity defaults to whatever you've set in your business settings.

Tip: Titles show up on your public page and in booking confirmation emails — keep them short and recognisable.

Save — the slot appears on your public page instantly

Click Add. Your slot is live immediately. Members visiting your booking page will see it and can book right away.

Note: You can't have two slots with the exact same start and end time. Overlapping (but not identical) slots are fine — useful if you run parallel sessions.

Getting started

Share your booking page

Your booking page is a single link your members visit to see slots and reserve spots. No app download required on their end.

Find your booking link

Your link is always gettingbooked.app/your-slug. You can see it at the top of your admin panel. Click it to preview how your page looks to members.

Copy and share anywhere

Paste the link into WhatsApp groups, Instagram bio, email newsletters, or your website. Anyone who clicks it can browse upcoming sessions and book without creating an account or downloading anything.

Tip: From the admin panel you can also download a QR code and an Instagram story image — perfect for printing or posting on social media.

Members book with just their email

When a member clicks Book on a slot, they enter their email address and receive a one-time code. No passwords, no app. Once verified, their booking is confirmed and they'll see the spot reserved.

Managing bookings

Add & manage members

Members can sign themselves up by booking a slot, or you can add them manually from the admin panel.

Go to the Members tab

Click Members in your admin dashboard. You'll see everyone who has ever booked a slot or been added manually.

Add a member manually

Click + Add member. Enter their name, email, and optionally a phone number. This is useful for walk-in clients or migrating an existing list.

View and edit a member's profile

Click any member's name to open their profile drawer. Here you can see their booking history, edit their contact details, assign a membership plan, add private notes, or remove them from your list.

Tip: Notes are private — members can never see them. Use them for reminders like "prefers front row" or "injury — no jumping".

See remaining allowance at a glance

If a member has an active membership plan, their remaining sessions or weekly cap is shown next to their name in the list — no need to open their profile every time.

Managing bookings

Membership plans

Create reusable plans and assign them to members to control how many sessions they can book.

Pack

A fixed number of sessions valid for a set number of days. E.g. "10 classes, valid for 60 days".

Recurring cap

Limits bookings per week or month. E.g. "up to 3 classes per week". Resets automatically.

Unlimited

Members can book freely until the plan expires. Useful for monthly memberships.

Membership required

Optionally block non-members from booking. Enable in Settings → Bookings.

Create a plan in Settings → Membership plans

Go to your admin panel, click Settings, then scroll to Membership plans. Click + New plan, choose a type (Pack, Recurring, or Unlimited), and fill in the details.

Assign the plan to a member

Open a member's profile from the Members tab. In the Membership section, choose a plan from the dropdown and click Save. The plan activates immediately and an expiry date is set automatically.

Sessions are deducted automatically

Every confirmed booking counts against the plan. Cancellations made before your cancellation window refund the session credit; late cancellations do not.

Walk-in bookings

Book a member into a slot from the admin panel — useful for phone calls, walk-ins, or adding someone at the last minute.

Find the slot in the Schedule tab

Go to Schedule and find the slot you want to book someone into.

Click the "+" icon on the slot row

Each slot row has a small + button on the right. Click it to open the walk-in booking modal.

Enter name, email (and/or phone)

Type the member's name and email. Phone number is optional. If the person already exists in your member list, their record is matched automatically.

Tip: Walk-in bookings bypass the advance-notice and booking horizon rules — you can book someone in even if the slot starts in 5 minutes.

Click "Book" — done

The booking is confirmed immediately and appears in the Bookings tab. If capacity is full, you'll see an error.

Managing bookings

Cancel a booking

You can cancel any booking from the admin panel. Late cancellations (within your cancellation window) are flagged separately.

Go to the Bookings tab

Click Bookings in your admin panel, then select Upcoming to see confirmed future bookings.

Find the booking and click "Cancel"

Locate the row and click the Cancel button. A confirmation dialog will appear.

Confirm the cancellation

Click Cancel booking to confirm. The booking moves to the Past list with a "Cancelled" badge. If it's within the cancellation window, a "Late cancel" badge appears — and if the member has a pack plan, the session is not refunded.

Members can also cancel themselves — from their profile on the booking page, as long as it's before the cancellation window you've set.

Business settings

Control booking rules, default capacity, timezone, and contact details from the Settings tab.

Setting What it does
Timezone Sets the timezone for all slot times on your public page and in the admin panel.
Default capacity The default number of spots per slot. You can override this per slot when creating one.
Booking notice (hours) How far in advance a member must book. E.g. "1 hour" means they can't book a slot starting in 45 minutes.
Booking horizon (days) How far ahead members can book. E.g. "30 days" stops members booking slots more than a month away.
Cancellation window (hours) How close to a slot's start time a cancellation counts as "late". Late cancels don't refund pack sessions.
Require active membership When on, only members with a valid plan can book. Others see the slots but can't reserve.
Time format Show times in 12-hour (AM/PM) or 24-hour format on the booking page.

Customise appearance

Make your booking page feel like yours — choose a colour, background, font, layout and cover image.

Open Settings → Appearance

Click Settings in the admin panel, then scroll down to the Appearance section.

Set your brand and background colours

Pick a brand colour for buttons and accents, and a page background — including dark themes.

Choose a font pairing and layout

Pick from seven font pairings (Modern, Classic, Elegant, Rounded, Editorial, Bold, Boutique), and switch the layout between Editorial (newspaper-style, more expressive) and Classic (card-based).

Upload a cover image

Add a photo of your studio, space, or product. It appears as a hero image at the top of your booking page.

Tip: A wide landscape photo (at least 1200 × 400 px) works best. You can also set its focal point.

Save — changes show instantly

Click Save changes. Your public booking page updates immediately — no reload required by your members.

Monthly stats

The Stats tab breaks down your month — members, bookings and attendance — so you can adjust your schedule with confidence.

Which days filled up

Booked vs. offered seats for each weekday, so you can see your busiest and quietest days.

Most active members

Your top bookers this month, ranked by number of visits.

What's booking

Bookings, sessions held and fill rate broken down per class or slot pattern.

Needs attention

Slots with a low fill rate, flagged so you can review or drop them.

Open the Stats tab

Click Stats in your admin panel to see this month's numbers.

Pick a month

Use the month picker at the top to look back at any past month.

Tip: Compare fill rates month to month to spot trends — like a day that's slowly filling up and could take an extra class.

Act on what needs attention

Slots flagged as low-fill are worth reviewing — try a different time, merge them with another class, or drop them from the schedule.

Admin & settings

Sign back in

There are no passwords on GettingBooked — every sign-in uses a one-time email code. Your session lasts 24 hours.

Click "Sign in to manage" on the home page

Visit gettingbooked.app and click the Sign in to manage card. Enter the email address you used when you created your business.

Enter the 6-digit code from your email

Check your inbox for a code from GettingBooked and enter it on the verification screen. The code is valid for 15 minutes.

You're back in — all your businesses appear

If your email is linked to more than one business, all of them are signed into in one go. You'll see a shortcut to each on the home page.

Tip: As long as your session is active (up to 24 hours), revisiting gettingbooked.app shows a Continue to your business shortcut — no code needed again.
